Whilst you are studying, interim transcripts can be obtained from your Campus Registry Office.
You'll receive a final transcript with your certificate. If you require further copies of your transcript after you graduate, please see the relevant tab below.
Replacement certificate
Level 3 further education courses - BTEC or Access
If the awarding body for your course was either Pearson (formerly Edexcel) or Laser (formerly OCN), you will need to contact the awarding body direct.

Mislaying a certificate temporarily is not considered sufficient grounds for replacement. Replacement certificates are only available where the original certificate has been irretrievably lost or destroyed - a signed declaration is required in the case of a replacement certificate being ordered.
Whilst we make every effort to provide you with a replacement certificate, certificates may not be available for all courses. The general rules below apply, although there may be exceptions to these.

What is a transcript?
A transcript is a record of achievement. It shows the individual marks of each unit of each year of your course, as well as confirming your final grade, the year you completed your award and the institution you attended.

For instance, the charge for three transcripts would be £30.
Normally, transcripts take up to 10 working days to prepare. Please be advised that at certain times of year production may take longer due to the large increase in workload at these times (e.g. graduation and enrolment).
Is there a transcript available for my course?

There may be transcripts available for the following colleges:
- Surrey Institute of Art & Design - Post-1999 only
- University College for the Creative Arts - Except some MA courses on our Kent campuses
- University for the Creative Arts - Except some MA courses on our Kent campuses
Replacement transcripts are not available for the colleges below:

- Canterbury School of Architecture

If we cannot provide a transcript, we will provide a letter confirming that a transcript is unavailable for your course. This is free of charge.
If you would like to order a transcript, please email [email protected] listing the following information:
- Your full name during your period of study;
- Your date of birth;
- The course you attended;
- The year you left;
- How many transcripts you require;
- Whether you require the transcript(s) sealed;
- The address you require the transcript(s) to be posted to - please note that transcripts cannot be emailed. Nor do we provide digital transcripts.
- Student Records will then send you details of how to pay
Postage
- Your transcript will be sent by standard post.
- Please note that Student Administration has no control over the postal service.
You may request your transcript to be tracked using the International Track and Trace service for a small charge.
Frequently Asked Questions
You may not be eligible to receive a transcript/exit award. Your eligibility to receive a transcript depends upon whether you completed and had units verified by a Board of Examiners, while your eligibility to receive a certificate depends upon whether you successfully completed enough credits to receive an exit award.
Transcripts and exit awards are not available until after the Boards have met. If you withdrew from your course after the last Board of Examiners met in the previous year, you will not be eligible to receive either a transcript and/or a certificate until after the next applicable Board of Examiners has met.
There are separate Exam Boards for undergraduate courses and postgraduate courses. There are two Boards for each - a Main Board and a Resit Board. The undergraduate exam boards meet in June and July, whilst those for postgraduate courses meet in September and December. The Board of Examiners confirms the final awards for all students.
It is university practice to send certification (including transcripts) to the current home address of all students following confirmation of an award. All certificates are sent by recorded delivery within two months of the confirmation of that award.
If the university did not have the correct address for you, the item may have been returned undelivered by Royal Mail. In cases such as these, the university charges the cost of re-postage, as it is the responsibility of students to inform the university of any change to their contact details. The university can provide a hard-copy letter (on headed paper) which confirms your dates of study, the course you attended and the award you achieved. This is free of charge. Letters cannot be sent directly to students via email.
Any student who has an outstanding debt at the published deadline prior to the relevant Board of Examiners is not eligible to have an award confirmed until the outstanding debt has been paid in full. Once your award is confirmed your certificate will become available.
Yes. However, all items are sent by standard post unless requested otherwise. If you wish your item to be sent by International Track and Trace, this does incur an extra charge.
No, the University does not send certificates or transcripts via courier services.
The university cannot change the name on any certificate once the results have been confirmed by the university's Board of Examiners. It was your responsibility to ensure that the university knew your official legal name at the time of your period of study.
Prior to the final Board of Examiners, students are given the opportunity to check their legal name.
